Getting startedSign in as the first administratorThe first Google account to sign in on a freshly provisioned instance automatically becomes its super_admin.

- Open your Exact Takeoff instance URL and sign in with Google.
- The first account to sign in becomes super_admin automatically — there is no separate password to set.
- Confirm the profile shows the super_admin role before inviting teammates.
- If sign-in fails, confirm the instance's Google OAuth client is configured and the URL is correct.
PeopleInvite and manage usersAdministrators invite additional users and assign roles from User Management inside the app.

- Open User Management from the app.
- Invite the teammate by their Google account email.
- Assign the minimum required role (admin or standard user).
- Remove or downgrade access from the same screen when someone leaves.
ProjectsCreate a takeoff project and upload plansProjects hold uploaded plan PDFs/images plus every measurement and takeoff item, saved as a .kto project file.

- Choose New Project and upload the plan PDF or image sheets.
- Use the takeoff tools to measure and annotate directly on the plans.
- Work is saved into the project's .kto file automatically as you go.
- Return to the project list at any time to reopen or continue a project.
ProjectsImport a legacy Active Takeoff (.qpl) fileProjects created in the older Active Takeoff Windows tool can be imported using the built-in .qpl importer.

- Open Import from the app and choose the legacy .qpl file(s).
- Use the mass-import option when migrating many projects at once.

ProjectsSearch across your projectsProject metadata is indexed for full-text search, so you can find a project without remembering its exact name.

- Use the search bar on the project list to search by name, client, or notes.
- Results update as you type across all indexed project metadata.
- If a recently renamed project doesn't appear yet, refresh the project list.
BillingUpdate billing or cancel a subscriptionPayment methods, invoices, cancellation, and eligible reactivation are handled in the Stripe Billing Portal.

- An operator opens the tenant's Manage billing action and provides a secure Stripe portal session link.
- Use Stripe to update payment details, view invoices, cancel at period end, or reactivate when available.
ReliabilityHandle customer backup and restore requestsEach provisioned customer has a dedicated, retained GCS backup bucket for their project files and database.

- Identify the exact tenant and requested recovery point.
- Confirm the backup exists in that tenant's backup bucket.
- Coordinate with the customer to pause active work before a high-impact restore.
- Run the approved restore procedure and verify project files and the database before reopening access.
SupportOpen and follow a support ticketUse the Help Center form for account, billing, data, or technical questions instead of phone support.

- Search the Help Center first for an immediate answer.
- If the answer does not resolve the issue, submit the support form with a specific subject and description.
- Save the private tracking link shown after submission.
- Use that link to read replies and add information until the ticket is resolved.
